What weighs on a transport business's accounting?

  • Vehicles that cost more than you think

Purchase or leasing, fuel, maintenance, tyres, insurance, road taxes, tolls: the real cost per kilometre is often underestimated. Without that figure, your rates may not cover your costs.

  • Deduction rules specific to each vehicle

A car, a van, a taxi and a lorry do not follow the same rules for tax deduction or VAT recovery. The registration type and CO2 emissions matter. A wrong classification skews your result for years.

  • Regional licences and inspections

Operating a taxi is a regional matter, and freight transport requires specific authorisations. A lost or suspended licence means your business stops. Inspections also cover driving and rest times.

  • Platform income that is hard to reconcile

App rides, card payments, tips, commissions withheld: statements come from several sources. Everything must be reconciled to declare the right turnover and the right VAT.

What your accountant does for your transport business

  • Fleet and vehicle costs

Choosing between buying, leasing and renting, depreciation, tax classification of each vehicle, tracking fuel and maintenance costs, recovering VAT correctly.

  • Cost per kilometre and pricing

Calculation of the full cost per kilometre and per hour, share of empty kilometres, margin per customer or per round. You set your rates knowing your costs.

  • Status and protection

Comparison of self-employed status and SRL/BV (private limited company), social contribution tracking, compulsory insurance, preparation of your licence and financial capacity files.

Which transport-specific rules do you need to know?

VAT. Passenger transport, such as taxis, benefits from the reduced rate of 6%, while freight transport in principle follows the standard rate of 21%. For freight transport to a VAT-registered customer in another EU country, the place-of-supply rules change. [A_VERIFIER: place-of-supply rules for B2B transport of goods (location at the customer and reverse charge)]

Vehicles. The tax deductibility of car costs depends on CO2 emissions and the acquisition date. For corporate income tax, only zero-emission cars bought from 2026 remain deductible: at 100% if bought before 1 January 2027, then at a declining percentage. A polluting car bought after 1 July 2023 sees its deduction fall to zero in 2028. Taxis and some utility vehicles follow their own rules. Licences. Taxi services are regulated by each region (Brussels-Capital, Wallonia, Flanders). Freight transport for hire or reward requires a licence and financial capacity. [A_VERIFIER: competent authorities and 2026 conditions for taxi licences by region and freight transport licence]

E-invoicing. Since 1 January 2026, your invoices to Belgian VAT-registered businesses must be electronic and structured. This applies to a haulier working for wholesalers or retailers, and to a taxi invoicing rides to a company.

Social contributions. In 2026, a main-occupation self-employed person pays 20.50% on income up to €75,024.54, with a quarterly minimum of €890.42.

Self-employed or SRL/BV: which is more profitable for you?

A new driver often works as a sole trader. As turnover grows or a fleet builds up, an SRL/BV can protect your personal assets and reduce your overall tax.

What VAT rate applies to a taxi ride?

Passenger transport, including taxis, is subject to the reduced rate of 6% in Belgium. Your accountant also checks the VAT on supplements and ancillary charges.

Can I recover all the VAT on my vehicle?

It depends on the type of vehicle and how you use it. Vehicles used exclusively for paid transport of people or goods follow more favourable rules than cars. [A_VERIFIER: limitation of VAT deduction on vehicles and 2026 exceptions]

How do I calculate my cost per kilometre?

Add up over one year depreciation or leasing, fuel, maintenance, tyres, insurance, taxes and tolls, then divide by the kilometres driven. Add your own pay to get the floor price of a ride or a round.

Do I need to send electronic invoices to my business customers?

Yes, if your customer is a Belgian VAT-registered business. The obligation has applied since 1 January 2026. Rides for private individuals are not covered.

How much social contribution will I pay as a self-employed driver?

In 2026, 20.50% of your income up to €75,024.54, then 14.16% up to €110,562.42. The minimum quarterly contribution for a main occupation is €890.42, reduced for first-time starters during their first quarters.

I drive for a platform. Am I self-employed?

The classification depends on the actual working conditions. Belgium has presumption rules on the nature of the employment relationship for platform workers. [A_VERIFIER: 2026 regime for platform workers and presumption of employment] Your accountant checks your situation and your obligations.

Should I move to an SRL/BV when I have several vehicles?

Often, a fleet and staff justify a company. The SRL/BV limits your liability to your contribution and requires no minimum capital, but needs a financial plan. The tax gain is calculated case by case.

How do I book payments received through an app?

Each payout must be broken down: gross rides, platform commission, tips, VAT. Your accountant imports the detailed statements and reconciles them with your bank receipts.

My lorry is leased: how do I account for it?

It depends on the type of contract. A finance lease and an operating lease do not have the same accounting treatment or the same effect on your balance sheet. Your accountant reviews the contract before you sign.
